This Privacy Policy explains how Truemailor (“Truemailor,” “we,” “us,” or “our”) collects, uses, and protects information when you use our email service at mail.truemailor.com and related authentication services, including one-time SMS passcodes sent through Twilio.
1. Who we are
Truemailor provides private email hosting and account security for authorized users of the Truemailor / ServerManager environment. Contact: portal@truemailor.com.
2. Information we collect
- Account data: email addresses, mailbox credentials (stored hashed/encrypted as applicable), and account settings.
- Authentication data: mobile phone numbers used for SMS one-time codes; authenticator app secrets; passkey credentials.
- Usage & security logs: sign-in times, IP addresses, device/browser metadata, and security events needed to protect accounts.
- Message content: email you send or receive through Truemailor mailboxes is processed to deliver the mail service.
3. How we use information
- To operate email delivery, webmail, and related account features.
- To verify your identity with SMS one-time codes, authenticator apps, or passkeys.
- To prevent abuse, investigate security incidents, and maintain service reliability.
- To communicate service notices related to your account.
We do not use SMS consent to send marketing or promotional text messages. Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes.
4. SMS program details
When SMS authentication is enabled for your account, Truemailor may text one-time passcodes to the phone number on file. These messages are transactional security messages only. Carriers are not liable for delayed or undelivered messages.
Opt-in occurs when an authorized account administrator enables SMS two-factor authentication for the account and confirms a verification code sent to the designated phone number. Opt-out: reply STOP (you may need to re-enable SMS 2FA in the account settings to receive codes again). For help, reply HELP or email portal@truemailor.com.
5. Service providers
We use infrastructure and messaging providers to operate the service, including Twilio for SMS delivery. These providers process data only to provide services to us (for example, delivering a verification code) and are not authorized to use your mobile number for their own marketing.
6. Data retention
We retain account and security logs for as long as needed to operate and secure the service, meet legal obligations, and resolve disputes. SMS one-time codes are short-lived and expire within minutes.
7. Security
We apply administrative and technical safeguards appropriate to a private mail and authentication service, including encrypted transport (HTTPS/TLS) and access controls. No method of transmission or storage is completely secure.
8. Your choices
- Disable SMS 2FA and use an authenticator app or passkey instead (where available).
- Reply STOP to SMS messages to opt out of texts to that number.
- Request account or phone-number updates by contacting us at the email above.
9. Children
Truemailor is not directed to children under 13, and we do not knowingly collect personal information from children under 13.
10. Changes
We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the service after an update means you acknowledge the revised policy.
